This article shows how to export a Canva design as a PDF. This PDF can be imported back into Canva as an editable design. The purpose of exporting a PDF for another person to upload, is in the instance where their organization may not allow the sharing of Canva Templates from outside of their own organization.
Key point: when a PDF is imported, Canva turns its text back into editable text boxes, so the new person can type over the old details. If both people can use the same Canva account or team, a template link is even simpler (see the last section).
PDF download and PDF import both work on every Canva plan, including Canva Free. Imported PDFs can be up to 300 MB and 500 pages (Canva Help).
You'll also need:
nametag-template.pdf, so it's easy to find later. The imported PDF opens as a new, separate Canva design, so the original template stays untouched.
| Issue | Why it happens | What to do |
|---|---|---|
| Text comes in as one image and can't be edited | The PDF was flattened or scanned | Re-download with Flatten PDF unticked, from the original Canva design |
| Fonts look different | Canva couldn't find an exact font match on import | Select the text and reapply the original font |
| Layout shifted slightly | Some elements move during conversion (Canva Help) | Nudge elements back into place before sharing |
| Images can't be replaced | Team permissions or Brand Controls limit edits | Ask your Canva team admin |
| Import fails or is incomplete | File is over 300 MB or 500 pages, or has too many elements | Download only the pages you need, or split the PDF |
If the new person can access Canva from the same team, or you can send them a link, a template link skips the export and import steps and loses nothing in conversion. Anyone with the link gets their own copy, and the original stays untouched.
Use the PDF route when you need a file to store, attach or move between Canva accounts that can't share with each other.
